Job description

We are recruiting on behalf of a reputable and growing international organisation for a highly organised and professional Executive Assistant to the CEO. This is an excellent opportunity for an experienced EA to work closely with senior leadership in a dynamic and fast-paced environment.

You will act as a trusted administrative partner to the CEO and wider Executive Team, ensuring day-to-day priorities are managed effectively and leadership time is protected for strategic matters.

Key Responsibilities

  • Manage complex calendars, meeting schedules and diary commitments across multiple time zones, including prioritising requests and resolving conflicts

  • Coordinate domestic and international travel arrangements including flights, accommodation, visas, ground transport and detailed itineraries

  • Manage communications with discretion, responsiveness and sound judgement on behalf of senior leadership

  • Support leadership meetings, board activities, executive offsites and company events by coordinating logistics, preparing materials and following up on actions

  • Prepare meeting agendas, briefing notes, presentations and supporting documents

  • Attend selected meetings to capture minutes, decisions and action items

  • Manage inboxes and correspondence where delegated, screening and escalating urgent matters appropriately

  • Prepare, submit and track expense reports and support budget-conscious administration

  • Maintain organised filing systems, trackers and administrative records

  • Support special projects by coordinating timelines and following up on deliverables

Compliance & Confidentiality

  • Maintain strict confidentiality regarding executive, commercial, financial and company-sensitive information

  • Handle documents and correspondence in line with data protection requirements and internal policies

  • Exercise sound judgement when prioritising communications and safeguarding sensitive information

Job Requirements

  • Relevant diploma, degree or professional qualification in Business Administration, Office Management or a related field

  • Proven experience as an Executive Assistant or Personal Assistant, preferably supporting C-suite leadership in an international environment

  • Excellent organisational skills with the ability to manage competing priorities and tight deadlines

  • Strong written and verbal communication skills with confidence in interacting with senior stakeholders

  • High proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with Teams, SharePoint and travel/expense systems is an advantage

  • High level of confidentiality, attention to detail and ability to work independently

  • Flexible, proactive and service-minded approach with strong relationship-building skills across departments and regions
